REDESIGN THE HIRING PROCESS

Client: Alchemy.us

Alchemy.us is the premier higher education solutions partner for Workday. Alchemy.us is still in its early stage of launch. They want to see the possibilities of their product from scratch.

In this project, I collaborated with the business strategy team from CCA's DMBA program and built a recruitment system for the early career community. Our team designed and prototyped the website user interfaces and user experience.

 

Our goal is to redesign the recruitment process and to create an easy-to-use, efficient and delightful platform.

HOW DO WE IMPROVE THE EXPERIENCE OF RECRUITMENT PROCESS FOR STUDENTS?

The hiring process is difficult for students. Alchemy, as the premier higher education solutions partner for Workday, has access to Workday’s huge database. The clients want us to redesign the hiring process and create a web-based solution for students who are looking for professional opportunities.

01.01 | INTERVIEW

We conducted interviews with 8 individuals within Alchemy’s target demographic of college students, including undergraduate, graduate and PHD students. 

In a traditional hiring process, candidates take 12 steps to finally get an offer.

Based on our interview, on average, the interviewees spend 60% of their time on Resume (including CV, cover letter, portfolio.etc). Most of the anxiety buildup from step 5 to step 7. We could see there are huge design opportunities on the thesis step.

INSIGHTS

Based on the responses received, we discovered that there are key areas they are most care about:

Students feel frustrated with long and hopeless hiring process

  1. Students don’t feel valued. Long-time-waiting and no reply build up their anxiety.

  2. Student feel unclear and anxiety about hiring progress from different company

  3. Job title & description don't match

Students need guidance for their career development, especially in their earlier stages

  1. The understanding of the real job market has gap versus the expectation

  2. Networking is a big barrier for a lot of students

Using the quantitative and qualitative data from interviews results, we defined the two group profiles Zoe (Freshman, 20), and Mark (New grad, 25) to better empathize with our main user groups and prioritize goals according to their needs.

Shorten hiring process

Both employees and employers are suffering from a slow and long process. The common suggestion is to simplify the process.

Reduce anxiety and uncertainty

Students are suffering from

waiting replies. They want to know which step they are currently at and know where their resumes go. They want to feel valued whether they get the job offer.

Provide guidance for students

Students are not clear about their career path when they just enter college. Freshmen and sophomores are still exploring the possibilities of future jobs. They are desperately looking for career development advice.

Based on 8 competitor analysis, we found that the connection between school resources and career-building is very valuable. The clear purpose of Alchemy is important to the users. 

The application process is usually outside of the platforms. The application management is very messy on different websites.

02.01 | IDEATION

We use "How might we" questions to explore the design solutions. After a few rounds of ideation, we conduct a new user emotion journey:

We considered various features and user flows in creating an experience that would match our goals and the client’s goals.

COMPATIBILITY

Alchemy utilizes a large database from Workday to its advantage. The platform will automatically generate the candidate's profile and give rough percentile with different position. Depending on the percentile, Alchemy will send the users the listing of recommen-dations.

PROGRESS VISUALIZATION

Both employees and employers will see a progress bar on their own pages. The progress bar can easily show which steps they are at. By knowing the progress of the recruiting process, candidates will be less anxious and uncertain.

MENTOR EXPRIENCE

In students’ early career stages, they are unclear about their own career paths. With the powerful connection with Workday, Alchemy can provide suggestions for curriculum based on students’ ideal job.

It only took 3 steps for user to fully generate an Alchemy profile page. The platform will generate the editable basic information for he to choose.

User can easily see his basic information, education, school connection and experience. The top left tab shows his overall on-going process. It offers clear visibility to info him where he is in the job seeking process.

In the position feature,  according to user's major, he has interaction design positions listed. Jumping into the next page, UI designer positions sorting by location shows to user. He can see the match score, matching skills, and some basic information on the specific positions. After consideration, he chooses to apply for the UI position of Hive company.

On this interface, users can see the interviewers, interview time, location, zoom link and feedback. User wants to move on to the second interview, so he agrees on it, and then get a calendar. What he needs to do next is choosing the free dates on the calendar for the second interview.

Users can also review his personality assessment. The information here will not be shared with employer but the result can influence the match score. His privacy is 100% protected.
